Project Brief for Architect/Designer and Quantity Surveyor Five-Bedroom Residential Building Project – Design Coordination, Cost Control and Completion Support 1. Project Background I have recently taken over a five-bedroom residential building project that is already under construction. A significant amount of the external work has been completed, and the project has reached an advanced shell and first-fix stage. However, there is currently a lack of coordinated design information, technical drawings and cost control documentation, which now needs to be addressed before the remaining works proceed. 2. Current Site Status • Most of the external works appear to be substantially complete. • First-fix electrical works have been carried out. • First-fix plumbing works have been carried out. • Most stud walls and dry walls are in place. • No bathroom fittings have been installed. • No furniture or fitted joinery has been installed. • No kitchen has been fitted. • No stairs have been installed. • No electrical, plumbing or mechanical drawings are currently available. • No bathroom or kitchen design drawings are currently available. 3. Purpose of Appointment I intend to appoint an architect/designer to review the current condition of the project, prepare the necessary design drawings, coordinate the remaining works and help regularise the design information required to complete the project properly. I also intend to appoint a quantity surveyor to review costs, assess the value of remaining works, control variations and provide commercial support through to completion. 4. Architect / Designer Scope Required • Carry out a site visit and review the current construction status. • Prepare or update existing floor plans, elevations and relevant sections based on the current site condition. • Prepare coordinated bathroom layouts, including sanitaryware positions, tiling intent, lighting positions and ventilation requirements. • Prepare kitchen design layouts, including appliance positions, services requirements, lighting and ventilation requirements. • Prepare stair design information, including layout, dimensions, compliance considerations and coordination with surrounding structure. • Coordinate electrical layouts, including lighting, sockets, switches, data, external lighting and specialist requirements. • Coordinate plumbing and mechanical layouts, including hot and cold water, waste, heating, ventilation and plant locations where applicable. • Review internal layouts, furniture positions and fitted joinery requirements. • Identify any missing structural, building control, fire safety, insulation, ventilation or compliance information that may be required. • Provide drawings and specifications suitable for contractor pricing, site coordination and completion of the remaining works. . Quantity Surveyor Scope Required • Review the current stage of works and assess what has already been completed. • Prepare a cost estimate for the remaining works required to complete the project. • Prepare or assist with a schedule of works and cost breakdown for outstanding packages. • Review contractor quotations and advise whether prices are reasonable and complete. • Identify missing cost items, provisional sums, exclusions and risk allowances. • Assist with procurement of remaining works packages, including bathrooms, kitchen, stairs, joinery, finishes, M&E completion and external works if required. • Monitor project costs and advise on budget changes, variations and potential overspend. • Review interim valuations and payment applications from contractors or subcontractors. • Assist with final account preparation and cost reporting through to completion. 6. Immediate Priorities 1. Arrange a joint site inspection with the architect/designer and quantity surveyor. 2. Record the current status of all completed, incomplete and uncertain works. 3. Confirm whether any existing planning, building control, structural or contractor drawings are available. 4. Prepare a full list of missing drawings and design decisions required before further works continue. 5. Establish a realistic budget for the remaining works. 6. Agree a programme for design completion, pricing, procurement and construction completion. 7. Information Requested from Consultants Please provide a fee proposal confirming your proposed scope of services, deliverables, timescales, assumptions, exclusions and any additional consultants that may be required. Please also confirm your availability to visit the site and advise on the most practical way to progress the project from its current stage to completion. • Concept sketches and mood boards to lock in the overall vision • Detailed floor plans, elevations and sections suitable for contractor pricing and permits • 3D renderings that clearly show finishes, lighting and furniture placement • A concise specification sheet listing selected materials, fixtures and appliances I’m open to iterative feedback sessions via Zoom or similar so we can hone the design together. Please share examples of comparable residential renovations you’ve completed, note the software you prefer (AutoCAD, Revit, SketchUp, etc.) and indicate your typical turnaround time for each design phase. I’m ready to begin as soon as we agree on scope and milestones.
